In this role, you'll support day-to-day administrative operations, ensuring the smooth coordination of scheduling, communications, and office tasks. You will work directly with the CEO and Controller, gaining insight into operations and contributing to the continued growth of a fast-paced, client-focused electrical contracting company. Key Responsibilities

• Answer and direct phone calls; greet customers and visitors
• Schedule service work, inspections, and appointments
• Maintain the CEO's calendar and assist in organizing company events
• Manage electronic and physical files, including permits and work orders
• Enter and track Accounts Payable and Receivable using QuickBooks Online
• Support the Controller with invoicing and vendor communication
• Monitor and order office supplies and maintain inventory levels
• Collate and distribute mail; operate general office equipment
• Keep meeting minutes and support internal communications
• Assist with marketing, field management platforms (FieldPulse, BuilderTrend), and Google/Microsoft Office tasks

Qualifications

• High School Diploma required; Associate's or Bachelor's degree preferred
• Required: Experience in accounting or bookkeeping
• Preferred: Knowledge of basic accounting, job costing, and QuickBooks Online
• Proficiency in Google Workspace and Microsoft Office
• Strong communication and time management skills
• Attention to detail, problem-solving ability, and initiative
• Preferred: Bilingual in English and Spanish
• Ability to multitask and work independently in a dynamic environment
