Job Overview

Provide administrative support to the janitorial division of a busy building services company.  The office manager will report to the Director of Housekeeping assisting with office functions and acting as a liaison to employees and clients.

Key Responsibilities
  • General office functions (phones, email, filing, correspondence, etc.)
  •  Order office and janitorial supplies, keeping track of usage and reconciling orders against monthly invoices
  • Assist with payroll/timekeeping functions and act as a liaison to employees, as needed, including but not limited to coordinating coverage for call outs
  • Assist with employee paperwork, including but not limited to job applications, new hire forms, annual training
  • Prepare proposals and track status
  •  Prepare reports or documents
  • Provide support to managers and other employees, including support for other divisions of company, as needed
  • Organize and schedule appointments
  • Interact with clients
  • Other administrative duties, as needed

Qualifications
  • Excellent oral and written communication skills
  • Attention to detail and problem-solving skills
  • High level of organization
  • Ability to prioritize among multiple projects and communicate issues or obstacles to completion promptly
  • Must have high level of experience and ability with Microsoft Office and other software
  • Experience with Janitorial Management software a plus; Ability to learn new software is a must
  • Bi-lingual (English/Spanish) required
