Job Overview
Mandy Management is seeking a highly organized and proactive Executive Assistant to lead the daily operations of our fast-moving maintenance department. Based in New Haven, CT, this role is critical to keeping our office running efficiently and our field teams fully supported. You'll coordinate internal communications, track HR compliance, manage administrative workflows, and be the go-to liaison between staff, leadership, and ownership. Key Responsibilities
  • Oversee daily office operations and streamline internal workflows
  • Manage HR-related tasks such as timesheets, PTO, and rotating on-call schedules
  • Coordinate onboarding processes and prepare new hire documentation and tools
  • Manage permits and building documentation with local municipalities
  • Maintain inventory and order office supplies
  • Generate and deliver monthly/quarterly department performance reports
  • Track tenant-billable work orders and ensure accurate CRM submissions
  • Conduct weekly check-ins and coordinate team communications and follow-ups
  • Submit internal reports and contractor payment requests to ownership
  • Monitor timekeeping systems and mobile clock-ins for accuracy
  • Plan team appreciation events and manage employee rewards program
  • Lead recruitment efforts for open roles within the department

Qualifications
  • 3–4 years of experience in administrative support, office management, or executive assistant roles
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Comfortable managing details like permits, documentation, and HR files
  • Proficient in Google Workspace, Excel, and CRM tools
  • Tech-savvy and data-oriented; able to analyze and present performance metrics
  • Self-starter with professional demeanor and a team-first attitude

Schedule
  • Full-Time
  • Monday–Friday, with rotating on-call duties every 4–6 weeks
  • Occasional overtime required during peak periods
