Location: Remote, Preferred PST

Compensation: $65,000 - $70,000

With rapid expansion ahead, we're seeking a highly experienced Executive Assistant to partner closely with our Vice President of Operations.

This is not a typical administrative role - you'll be a strategic right hand, ensuring the VP's time is maximized, priorities are clear, and high-impact projects move forward. The Role

You'll combine executive support, project coordination, and operational excellence into one high-visibility position. From managing complex calendars to tracking cross-functional projects, your focus will be enabling the VP of Operations to make faster, better-informed decisions.

Key Responsibilities

Executive Support

  • Manage the VP's calendar, scheduling, and prioritization of meetings.
  • Prepare agendas, talking points, and briefing materials.
  • Attend select meetings, capture key action items, and ensure follow-ups are completed.
  • Coordinate travel arrangements and logistics for in-person events or meetings.


Project & Cross-Functional Coordination

  • Track and manage cross-functional initiatives from start to finish.
  • Ensure key milestones, risks, and updates are clearly communicated.
  • Follow up with stakeholders to maintain accountability and progress.
  • Support operational and strategic initiatives driven by the VP.

Operational Support & SOP Management

  • Create, update, and maintain Standard Operating Procedures (SOPs).
  • Conduct SOP audits to identify optimization opportunities.
  • Ensure consistent adoption of updated workflows across the team.




What We're Looking For

  • Experience: 3+ years supporting C-suite executives in high-growth companies, ideally in operations, marketing, or tech.
  • Project Coordination Skills: Ability to track and follow through on multiple initiatives simultaneously.
  • Excellence: Skilled at SOP management, workflow improvements, and operational audits.
  • Tech Savvy: Proficient in HubSpot and familiar with tools like Make.com, Zapier, and AI-driven solutions.
  • Proactive & Resourceful: Always thinking several steps ahead and solving problems before they arise.
  • Strong Communicator: Clear, concise, and confident in representing the VP internally and externally.
  • Time Zone Alignment: PST preferred.
