Job Overview
MX Construction Inc is hiring a detail-oriented and proactive Construction Project Administrator to support our project managers and field teams in delivering federal and commercial projects. This critical role requires a highly organized professional who excels at managing documentation, handling subcontractor records, and ensuring compliance with administrative procedures. Key Responsibilities
  • Process, distribute, and maintain subcontract agreements across all active projects
  • Request, track, and file accurate certificates of insurance for all subcontractors
  • Maintain a digital database for subcontractor details and insurance compliance
  • Attend project meetings and record professional meeting minutes
  • Collect, process, and organize project documentation submitted from field teams
  • Enter project data into the USACE RMS system with a high degree of accuracy
  • Review, process, and file subcontractor certified payroll reports
  • Assist with submittals, including tracking, distribution, and documentation
  • Support project managers with general administrative duties as needed

Qualifications
  • Minimum 3 years' experience in construction administration, project coordination, or a similar support role
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and SharePoint
  • Professional demeanor with strong written and verbal communication skills
  • Highly organized and detail-oriented with strong time management skills
  • Ability to balance competing priorities in a fast-paced, team-oriented environment
  • Experience with USACE RMS system preferred
  • Punctual, reliable, and committed to delivering excellent support across teams

Schedule
  • Full-time, Monday-Friday
  • Flexible schedule may be needed based on meeting times and project deadlines

Work Location
  • Primarily office-based in Nipomo, CA, with support to remote project teams across California. Occasional travel may be required to attend project meetings.
