Job Overview:
iStudio Projects is seeking a detail-oriented and proactive Project Coordinator to support our project management team in bringing high-performance spaces to life. Ideal for someone with exceptional organizational skills and a passion for managing logistics in creative and construction environments, this role ensures projects are delivered on time, within scope, and beyond expectations. With a strong foundation in theatrical equipment, TV/film production, and construction, our projects range from theater renovations to cutting-edge rigging systems. The Project Coordinator will be instrumental in keeping all project components running smoothly.

Key Responsibilities:
  • Coordinate and track project activities, deliverables, and schedules across multiple departments and teams.
  • Support Project Managers with planning, documentation, communication, and execution of client deliverables.
  • Organize materials, shipping logistics, custom shop work, and vendor orders to ensure timely project progress.
  • Communicate project updates internally and externally, maintaining detailed documentation and project timelines.
  • Assist in reviewing plans, drawings, and scopes to help align construction and theatrical integration strategies.
  • Interface with vendors and subcontractors for scheduling, pricing, and coordination of equipment and materials.
  • Help manage documentation, including estimates, proposals, and contracts, with an eye for accuracy and compliance.
  • Contribute to budget tracking, procurement support, and expense reporting.
  • Prepare reports, presentations, and status updates for project stakeholders.
  • Travel occasionally to support on-site assessments, installations, or client meetings.

Qualifications:
  • 2+ years of experience in project coordination, construction, or entertainment/theatrical project environments.
  • Excellent communication and time management skills, with a proactive, team-focused approach.
  • Proficiency in Microsoft Office Suite and project management software.
  • Familiarity with reading technical drawings and understanding project scopes.
  • Ability to juggle multiple priorities in a fast-paced, creative work setting.
  • Strong attention to detail, organizational skills, and problem-solving abilities.
  • Experience in theatrical production, construction logistics, or AV/rigging coordination is a plus.
  • Bachelor's degree in Project Management, Technical Theatre, Construction Management, or related field preferred.
