In this full-time, hybrid role, you will oversee critical financial and operational tasks, ensuring seamless coordination between our leadership team, clients, and accountant. Key Responsibilities

• Manage full-cycle bookkeeping tasks including accounts payable, accounts receivable, bank reconciliations, and financial reporting.
• Serve as the primary liaison between company leadership and our accountant for accurate financial planning, quarterly reviews, and annual filings.
• Run bi-weekly payroll accurately and on schedule.
• Prepare invoices and estimates for residential and commercial projects.
• Maintain and update financial records using QuickBooks Online.
• Utilize Jobber or a similar HVAC operations/CRM software for scheduling, client management, and workflow tracking.
• Communicate professionally with clients to coordinate scheduling, pricing, and setting clear expectations.
• Send certificates of insurance (COIs), licenses, and other required documentation to commercial clients.
• Monitor job progress and provide administrative support to field operations as needed.
• Develop and implement processes to improve operational efficiency.

Qualifications

• Bachelor's degree in business, accounting, finance, or a related field (required).
• Minimum 3 years of experience as a bookkeeper, operations manager, or in a similar administrative finance role.
• Strong proficiency in QuickBooks Online.
• Experience with Jobber or similar HVAC-specific CRM/operations software is highly preferred.
• Excellent communication and interpersonal skills, with the ability to interact effectively with clients, vendors, and team members.
• Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities.
• Strong understanding of payroll processing and general accounting principles.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
• Ability to work independently and thrive in a hybrid work environment.
