Job Overview
Pali Coast, LLC is hiring a proactive and highly organized Construction Office Coordinator to support the day-to-day administrative and logistical operations of our growing landscape design-build team. This full-time role is the heartbeat of our office, keeping schedules aligned, expenses tracked, supplies stocked, and field teams supported.

You'll work closely with the Operations & Compliance Manager and interact daily with field crew, vendors, and clients-all while keeping our systems running smoothly and efficiently.

Key Responsibilities
  • Track and report daily expenses; collect receipts and assist with timesheet uploads
  • Answer phone calls and manage team-wide scheduling and calendars
  • Coordinate vendor orders, deliveries, and jobsite logistics
  • Order and maintain inventory of office supplies, uniforms, and merchandise
  • Prompt field employees for missing receipts, time entries, and documents
  • Provide field support, including job folder preparation and printouts
  • Assist with prepping quotes and invoices for internal review
  • Handle small but essential administrative tasks that ensure smooth operations

Qualifications
  • 2+ years of office administration or coordination experience (construction industry preferred)
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Comfortable using Microsoft Office, Google Workspace, and digital filing systems
  • Experience working with job tracking or accounting platforms is a plus
  • Self-starter who thrives in a fast-paced, multi-tasking environment
  • Detail-oriented with a "can-do" attitude and strong follow-through
  • High school diploma or GED required; Associate's or Bachelor's degree a plus

Work Schedule
