Responsibilities include but are not limited to:
- OFFICE/DESK:
- Issue supplies from the stockroom. Record everything on the check out sheet.
- Place consignment orders daily. (deadline: entered Thurs by noon to receive on Fri)
- Place orders for non-consignment stockroom items as needed.
- Place orders for truck stock and PTU supplies as requested.
- Get quotes on material / supplies as requested.
- Track & order: stockroom, t-stats, sheet metal, Freon, 'in house' inventory.
- Count and reconcile discrepancies regularly.
- Create End of Month reports for stockroom, sheet metal, t-stats, Freon, in-house.
- BACK SHOP:
- Verify that shipments are received correctly then tag equipment with an orange SOLD sticker, indicating the job number/customer name/and tentative install date.
- Count sheet metal every day, track on spreadsheet to prepare for the end of month.
- Receive UPS & FedEx shipments. Tag and stage parts, notify the appropriate department.
- Prepare equipment to ship out (when requested). Before the end of the week is recommended.
- Wrap refrigerant recovery bottles on pallets and TAG. Call to request exchange of full tanks for empty ones (5 bottle minimum). Exchange same qty full = empty.
- Receive truck deliveries when no one is in the back shop, using forklift when necessary.
- Exchange nitro/ace/oxy bottles. Schedule pick up/delivery or hand carry as needed.
- Inventory all ANI owned vehicles, ladders, tools, equipment, computers, printers, laptops, tablets, desks, file cabinets, etc. and update list as needed. (End of year task)
- WARRANTIES:
- Receive small parts from tech w/ paperwork to process warranty. Larger parts (coil/heat exchanger/compressor) stage outside the stockroom door.
- Process warranty claim. (immediately is recommended).
- Get warranty items back to the vendor for credit if requested (via hand delivery or schedule pick up) Track when credit is received / Research credits not received in 30 days.
Secondary responsibilities:
- Process material and equipment invoices (match packing slip to invoice)
- Enter invoices into AP daily! Maintain files for unpaid invoices.
- Research discrepancies on invoices, review material purchased.
- Review vendor statements as they come in, request missing invoices.
- (only when requested). Gather time cards & enter payroll time sheets
- Record ALL new purchases throughout the year, to prep for the end of Year.
OUT OF OFFICE / TRAVEL:
- Retrieve or deliver equipment, parts, and supplies as requested for all departments to Newport News, Hampton, Chesapeake, Williamsburg, Richmond, and surrounding area.
- Return warranties, equipment, parts, supplies, etc.… as requested for all departments.
- Retrieve and deliver personnel as requested, take vehicles in for service, transfer drivers between trucks, deliver spare keys...etc.
- Run pickups and/or deliveries when requested (bank, post office, permit office, retrieve checks, pick up lunch, etc., etc.…)
Ongoing all day / most days:
- Give out PO's to technicians for non-stocked parts or material.
- Attend to counter sales and parts inquiries over the phone.
- Assist with answering phones when needed.
- Assist service department by ordering parts, or dispatching tech when requested.
- Receive orders from commercial crew to purchase materials and supplies.
- Shop for 'price and availability' when requested.
- Attend any other task as requested (research invoices, review lists, locate files...etc.)

Schedule:
Full-time, Monday to Friday with an 8-hour day shift (occasional Saturday shifts as needed for client convenience).
